Introduction

The EGEDA Information Technology Department was created with the objective of developing initiatives and projects in two very distinct areas:

INFORMATION TECHNOLOGY
The first area concerns to the design of specific software for the correct development and coordination of the various tasks carried out by EGEDA’s other departments, both for disseminating these IT applications to the other rights management societies and using them to inform the organisation’s members, in particular, and the public, in general, about all aspects related to the audio-visual industry.

PROMOTION OF THE AUDIO-VISUAL INDUSTRY
For this goal, a web site has been created in order to publicise EDEDA’s activities and its assistance policies to the audio-visual industry.

 

Projects and Applications

At present, there are numerous terminals on the local area network, distributed by department and, from each of them, data is input and processed.

Given that information comes from different sources, comparing and contrasting is essential in order to obtain a true understanding of the concepts contained therein.

For the proper processing of data, different IT applications have been developed. Without investment in IT development, it would be materially impossible to manage the quantities of information which are used and, therefore, to achieve the goals of this copyright management society.

Applications

From the outset of its activity, we have worked towards designing and implementing a series of applications which process the available information in the shortest time and with the greatest dependability possible.

Presently, the Society has five separate applications in perfect working order:

ERATO
Distribution of Rights for the Private Copy and Public Performance Royalties.

Connected to this application is a data base containing audio-visual works, broadcasts and their producers, among other information. It allows for the input of TV programming data.

AMANDA
Management and Collection of Public Communication Rights

Connected to this application is a data base with local TV stations, cable operators, hotels and other information, which make use of audio-visual works.

It allows for the management and issuance of invoices, subject to a quarterly self-declaration document.

ZAIDIN
Collection of Compensatory Private Copy Remuneration

In this data base are the manufacturers, importers and a large number of commercial vendors of tapes and digital-format material, along with video recording equipment, both under the legal authority of private copy.

It allows for the management and issuance of billing, based on the submission of a quarterly self-declaration document.

CENSO
Management of corporate lists

A data base which contains the companies and individuals connected with EGEDA for the various events, activities or matters under consideration organised by the Society.

QUALITAS
Management of EGEDA Quality Control

IT solution for EGEDA’s system of quality management, computerising the management of documentation, forms and reporting related to quality.

 

"ATYCA" Initiative

With its proposal "IT Application for Information Exchange Relating to Audio-visual Works and Productions between EGEDA and its Members and with other Rights Management Societies via the Internet", EGEDA was granted financial assistance related to the Support Initiative for Technology, Security and Industrial Quality ("ATYCA").

Thus, EGEDA was acknowledged to be a pioneering organisation in the development of industrial technology with recognition throughout Europe.

The project developed is mainly based on an IT application for which equipment and sufficiently well-known and developed tools have been used for two reasons:

1. Proven reliability and recognised prestige.
2. To be based on widely available formats.

This has allowed the development of applications to be carried out as planned and within expected time-frames and, due to the formats used, to be both accessible to all users and compatible with new technology forecasted for the near future.

The creation of search engines which must be totally interactive with the user connected via the INTERNET network has been fundamental. Furthermore, they should be particularly user-friendly so information may be obtained without special training which would hinder the principle of easy data dissemination.

 

Webegeda

Development

On 26 March 1997, planning of the EGEDA web site began. The deadline of one month was set for obtaining the NIC, installation of intranet and connection of the server to the Internet. The approximate deadline for development of the web server was 2-3 months.

On 11 July of the same year, the web site was complete and ready for roll out, first in Madrid and, then at the San Sebastian Film Festival, on 24 September.

For EGEDA, the year 1997 means its entry on the INTERNET, and the creation of its own web site.

Our goals are the following:

To carry on establishing connections with members and others to give them a daily communication service via our data bases, providing up-to-date and accurate information in this manner on various subjects: financial rights deriving from EGEDA’s management, audio-visual legislation, information about the broadcasting of works, both in Spain and abroad, access to a data base of audio-visual works with daily updating of films, series, documentaries, cartoons, theatre, etc.

Enable all people navigating on the Internet to access our web site, although this is divided into two parts: one public, with everyone having access, and one private, with more selective information, to which our members have access by virtue of being members of the Society, along with other individuals who request access through subscription. For the latter group, there will also be certain restrictions within the private area.

By means of the network, the possibility of attending promotional events, courses, conferences, etc. which the Society organises will be shared. It will give the users the possibility of providing information or data which would be of interest to others.
